Applicant Privacy Notice
Alliance Global Solutions PH (“AGS”) · Quezon City, Philippines
This notice explains how AGS handles your personal information when you apply for a job through this website, in line with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173). Please read it before you submit an application.
Who is responsible
AGS decides how and why your application data is used. Privacy questions and requests go to AGS’s privacy contact. You can reach us through the privacy form at the bottom of this page.
What personal data we collect
Only what you give us in the application, plus basic technical records:
- Identity and contact details: full name, preferred name, email, mobile number, city, province, country, and optional LinkedIn or portfolio links.
- Work and education: employment history (employers, positions, dates, responsibilities, reasons for leaving, last salary), education level, certifications, and skills or tools you declare.
- Your answers to qualification and role questions, including the multiple-choice role assessment.
- Availability and expectations: willingness to work particular shifts, weekends or holidays, earliest start date, employment status, notice period, commute time, and your previous, current, expected and minimum salary. The days and hours you are available for a final interview (usually 9:00 PM to 6:00 AM), and, if you choose to give it, a Viber or WhatsApp number we may use to clarify something with you. If you pass screening, we may also send you a private link to confirm your interview availability.
- If you use the Contact Us form: your name, email, optional mobile number and position, and your message. We use these only to reply to you.
- Your CV file (PDF, DOC or DOCX). A CV may contain other personal details you choose to include — please leave out anything you do not want us to have.
- Voice samples, if the position asks for them (see “Voice recordings and Vocaroo” below).
- Your consent and declaration, and technical records such as the time of submission and a temporary session identifier that lets us save your progress.
We do not ask for religion, political affiliation, marital status, pregnancy, race or ethnicity, or medical information.
If you start an application but do not submit it, the draft you were typing is still saved on our system so you can come back to it. If you do submit, our recruiters and HR team also create records about it: a screening result, notes, and decisions.
Why we use it, and our legal basis
- To assess your application and contact you — to take the steps you ask for before any employment contract, and with your consent, which you give by ticking the consent box when you submit.
- To screen consistently — our legitimate interest in comparing applicants fairly against the job-related requirements of the position (experience, skills, availability, role knowledge and salary fit).
- To keep recruitment records and protect the system — our legitimate interests in documenting hiring decisions, detecting duplicate applications and inconsistent information, and keeping an audit trail of who accessed what.
- To answer your privacy questions and requests — to meet our obligations under the Data Privacy Act.
We do not use your application for marketing, and we do not sell your personal data.
If you do not provide the information the form requires, we may not be able to consider your application.
Automated screening
When you submit, the system automatically compares your answers with the requirements of the position and produces a screening result: a score out of 100 and a plain-language list of reasons and flags. In more detail:
- Some positions have mandatory requirements (for example, a minimum amount of relevant experience or availability for a shift). If one is not met, the system marks the application accordingly, and an early requirement check can end the application before the last step.
- Recruiters can see the result and the reasons and make the hiring decision, including after a mandatory requirement was not met. The score is a decision-support tool, not the final decision.
- We do not use your accent, nationality, or any protected characteristic in screening. At present we do not use automated voice analysis or automated transcription — recruiters listen to voice samples themselves.
- The score and detailed reasons are for recruiters and are not shown to applicants. If you believe a result is wrong, or you would like a person to review it, you can ask us through the privacy form.
Voice recordings and Vocaroo
Where a position asks for a voice sample (up to 60 seconds), you may provide it in one of three ways:
- Record in your browser or upload an audio file — the file is stored in private storage that is not publicly accessible. Authorized recruiters open it through a temporary link that expires after 5 minutes, and each playback is logged.
- Paste a Vocaroo link — the recording is hosted by Vocaroo, a third-party service outside AGS’s control, under Vocaroo’s own terms and privacy practices. Anyone who has the link may be able to listen to it, and AGS does not download or verify it. If you want it removed from Vocaroo, you will need to do that with Vocaroo. Please do not include sensitive personal details in your recording.
Voice samples are used only to assess job-related communication for the role you applied for.
Who can see your data, and who processes it for us
Access is limited to authorized AGS recruitment and HR personnel, and to system administrators who need it for their work. HR may also share a summary of your application with the AGS hiring manager or account manager who conducts your final interview; each time HR prints, downloads or sends a summary, it is recorded in the audit log. Your data is not visible to other applicants. We use these service providers to run the system:
- Supabase — database, sign-in sessions and private file storage (your CV and voice files).
- Netlify — hosting of this website.
- Vocaroo — only if you choose to give a Vocaroo link.
We may also disclose information where the law or a lawful order requires it. We do not currently send CVs or recordings to third-party AI or CV-analysis services.
How we protect it
- The site is served over an encrypted (HTTPS) connection.
- CVs and recordings are kept in private storage; they are never public links.
- Access is restricted by role. Applicants can see only their own draft, and screening scores and recruiter decisions are not visible to applicants.
- Actions by staff — including viewing a CV or playing a recording — are recorded in an audit log.
- The keys that give full database access are kept on the server and are never sent to your browser.
- This site uses only the cookies or browser storage needed to keep your session and save your progress. It does not use advertising or analytics trackers.
No system is completely risk-free. If a personal data breach affecting you occurs, we will handle and report it as the Data Privacy Act requires.
How long we keep it
We keep applications, including drafts, CVs and recordings, for 12 months (365 days) from submission (or from creation, for drafts). After that, AGS administrators delete them using the system’s retention process, which also removes the stored files. Applications of people who were hired are not removed by that process; they continue to be kept as part of the employment record under AGS’s HR policies. Privacy inquiries are kept for as long as needed to handle your request and to record how it was handled.
Your rights
Under the Data Privacy Act you have the right to:
- be informed about how your data is processed;
- access the personal data we hold about you;
- correct inaccurate or incomplete data;
- object to processing, and withdraw your consent where we rely on it (this does not affect processing done before you withdrew, and may mean we can no longer consider your application);
- ask for your data to be deleted or blocked, in the circumstances the law provides;
- data portability, where it applies;
- claim compensation for damages from unlawful processing; and
- complain to the National Privacy Commission (privacy.gov.ph).
Each request is assessed under the law; some rights have limits, so we cannot promise that every request will be granted. To make a request, use the form below. We may need to confirm that the request really comes from you.
Changes to this notice
If we change how we handle applications, we will update this notice and the date at the top.
Questions About Your Privacy?
If you have questions about how AGS collects, uses, or stores your personal information, or would like to exercise your data privacy rights, please contact AGS using the form below.
This form is separate from the job application — you do not need to apply, and you do not need to attach a CV or recording.
